3 STEP
SOP Execution Plan

How to completely systematize your organization with SOP's

The purpose of SOP’s

(Standard Operating Procedures)

are to remove bottlenecks from your business. Organizations benefit from SOP creation in the following ways:

  • Allows the business to grow and scale by adding new employees to current positions.
  • Reduces impact of employee turnover.
  • Reduced negative impact of employee absenteeism.
  • Improves employee accountability.

SOP definition:

Also known as
Standard Operating Procedures:

are a set of step by step instructions to be carried out by a team member to accomplish a specific routine task for an organization.

Employees come and go,
SOP’s are forever.

1. Identify

Identify all tasks for each employee in your business.

Make sure you identify :

  • Daily tasks
  • Monthly tasks
  • Weekly tasks
  • Yearly tasks

Tip: Have employee keep notepad near their desk and write down tasks or procedures they perform.

Cross check with other employees if there are multiple in the same position. Also confer with the manager/business owner once the tasks have been identified.

2. Record

After tasks have been identified

Write down every step in that task to accomplish the desired outcome. Every SOP should be written down. (consider this a recipe)

Determine if this SOP can be videoed for further explanation. Videos can be recorded either using a phone, gopro or other recorder.

Videos may also be a ‘screen recording’ using a software such as ‘Loom’ www.loom.com. Each position should have daily, weekly, monthly and yearly tasks completely documented and able to be followed by any other staff member.

Note: Test the system instructions on an employee who does not commonly perform the task and identify areas to refine
