Terms of Service

Effective date: July 17, 2026

These Terms of Service (“Terms”) are an agreement between WorkForceu.net, Inc., a Texas corporation doing business as “Office Automated” (“Office Automated,” “we,” “us”) and the business subscribing to or using our services (“Customer,” “you”). By using officeautomated.com (the “Site”) or the Office Automated platform at oahub.app and related domains (the “Platform”), you agree to these Terms. If you are accepting on behalf of a practice or company, you represent that you have authority to bind it.

1. The service

The Platform provides workforce-operations software for small businesses — including office manuals, training and curriculum, daily checklists, task management, scheduling, HR records and timekeeping, messaging, and statistics — under the Customer's own branding. Features may evolve over time; we will not materially reduce the core functionality of a paid subscription during a paid term.

2. Accounts and responsibilities

  • Each Customer designates a primary user who controls access, permission profiles, and settings for its account.
  • You are responsible for safeguarding login credentials and for all activity under your account.
  • You are responsible for the accuracy and lawfulness of the data you and your staff enter, including compliance with employment and privacy laws that apply to you.

3. Subscriptions, billing, and the Founding Practice rate

  • Subscriptions are billed monthly in advance through Stripe, at a flat rate determined by your team-size tier as published on our pricing page.
  • If your team grows into a higher tier, your rate moves to that tier at the next billing cycle.
  • We may change published pricing with at least 30 days' notice; changes take effect at your next billing cycle after the notice period.
  • Founding Practice rate: Customers admitted to the Founding Practice Program receive the published discount off their tier for as long as their subscription remains continuously active. The discount percentage is locked; the underlying tier follows team size. The discount ends if the subscription lapses or is cancelled.
  • No setup fees. No per-seat fees.

4. Cancellation and refunds

  • You may cancel at any time from your account or by emailing support@officeautomated.com. Cancellation takes effect at the end of the current billing cycle.
  • Fees already paid are non-refundable, including for partial months, except where required by law.
  • After cancellation, your data remains exportable during a limited wind-down period (see our Privacy Policy), after which it is deleted.

5. Customer data

  • You own the data and content you and your staff put into the Platform.
  • You grant us the limited rights needed to host, process, back up, display, and transmit that data to operate the service.
  • We will not sell your data or use it for advertising.

6. No protected health information

The Platform is workforce and operations software, not a medical records system. You agree not to upload protected health information (PHI) as defined by HIPAA — including patient names, conditions, or treatment details — into the Platform. Office Automated does not act as a Business Associate and does not sign Business Associate Agreements. You are responsible for your team's compliance with this section.

7. Acceptable use

You agree not to: use the service unlawfully; upload malicious code; attempt to access other customers' data; resell or sublicense the Platform without our written agreement; reverse engineer the service except where the law permits; or use the messaging features to send spam or unlawful communications. SMS features must be used consistent with applicable messaging and consent laws.

8. Third-party services

Some features rely on third-party services (for example Stripe for billing, Twilio for SMS, Vimeo for video, Intuit QuickBooks if you connect your account, and any AI provider whose API key you supply). Your use of those features is also subject to those providers' terms, and Office Automated is not responsible for third-party services. AI-generated draft content should be reviewed by you before use.

9. Availability and support

We aim for high availability but the service is provided without a guaranteed uptime commitment. We may perform maintenance and will use reasonable efforts to minimize disruption. Support is provided by email at support@officeautomated.com.

10. Disclaimers

THE SITE AND PLATFORM ARE PROVIDED “AS IS” AND “AS AVAILABLE.” TO THE MAXIMUM EXTENT PERMITTED BY LAW, WE DISCLAIM ALL WARRANTIES, EXPRESS OR IMPLIED, INCLUDING MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT. OFFICE AUTOMATED IS A TOOL FOR MANAGING YOUR OPERATIONS; YOU REMAIN RESPONSIBLE FOR YOUR BUSINESS, EMPLOYMENT, AND COMPLIANCE DECISIONS.

11. Limitation of liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW, NEITHER PARTY WILL BE LIABLE FOR INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR LOST PROFITS OR DATA. OUR TOTAL LIABILITY ARISING OUT OF OR RELATING TO THE SERVICE WILL NOT EXCEED THE FEES YOU PAID US IN THE TWELVE (12) MONTHS BEFORE THE EVENT GIVING RISE TO THE CLAIM.

12. Indemnification

You will defend and indemnify Office Automated against third-party claims arising from your data, your use of the service in violation of these Terms, or your violation of law — including any claim arising from PHI uploaded in violation of Section 6.

13. Termination

We may suspend or terminate the service for material breach of these Terms that remains uncured after reasonable notice, or immediately for serious violations (such as unlawful use or non-payment). You may terminate as described in Section 4.

14. Governing law

These Terms are governed by the laws of the State of Texas, without regard to conflict-of-laws rules. The exclusive venue for disputes is the state or federal courts located in Harris County, Texas, and each party consents to their jurisdiction.

15. Changes to these Terms

We may update these Terms from time to time. Material changes will be posted on this page with an updated effective date, and subscribing Customers will be notified. Continued use after changes take effect constitutes acceptance.
